Liaise with managers and clients to define project requirements, scopes, and objectives that align with organizational goals

The Coordinator works closely with project team members, managers and leads to help deliver major organisational projects efficiently.

A project coordinator manages day-to-day administrative tasks, schedules, and communication to keep projects on track and within budge

supports the Project Manager in gathering equipment, resources and information to implement upcoming projects.

Their main duties include maintaining budgets and work schedules, organizing and participating in shareholder meetings and ensuring all deadlines for certain projects are met.

Responsibilities

  • Haring relevant documentation and reports with project teams
  • Providing information and regular support to stakeholders
  • Being point of contact for various working groups
  • Developing in-depth understanding of project scope and particulars i.e. timeframes, financials, outcomes
  • Ensuring resources and equipment are always available
  • Understanding formal escalation and review processes
  • Providing support to project managers and business leaders when requested.
  • Thorough project documentation
  • Creating and reviewing of reports
  • monitors the daily progress of a project, provides updates to the project manager and stakeholders, organizes reports, plans meetings, and performs billing tasks..
  • They should be able to work closely with project managers to create comprehensive action plans concerning resources, budgets and timeframes for projects.
  • Perform various coordinating duties such as scheduling and risk management.
  • Participate in project design meetings and propose improvements if necessary
  • Evaluate potential problems and technical hitches and develop solutions
  • Plan and manage team goals, project schedules and new information
  • Supervise current projects and coordinate all team members to keep workflow on track
  • Manage project-related paperwork by ensuring all necessary materials are current, properly filed and stored
  • Direct project correspondences by preparing and reviewing project proposals, memos, meeting minutes and emails
  • Communicate with clients to identify and define project requirements, scope and objectives
  • Adhere to budget by monitoring expenses and implementing cost-saving measures.
  •  Monitor daily workflow, update schedules, and measure project milestones.
  • Communicate as a main point of contact between team members, the project manager, and clients.
  •  Managing Documents, Organize meeting minutes, project plans, reports, and financial records.
  • Scheduling: Plan stakeholder meetings, set up agendas, and coordinate resource allocation.

Required Skills

  • Excellent verbal and written communication skills are essential to work closely with team members and manager
  • Effectively manage problems as they occur. You may also need to build presentations to communicate with stakeholders, so visual communication skills can be beneficial.
  • Leadership: As the primary point of contact for team members.
  • must be able to provide guidance, feedback, and encouragement for achieving goals.
  • Organization: Ability to multitask and manage tight deadlines.
  • Communication: Clear verbal and written correspondence.
  • Technical: Proficiency in project management software, calendars, and spreadsheets.
  • Problem-Solving: Quick identification and resolution of workflow bottlenecks
  • Experience in coordinating teams and clients
  • Proven success in a corporate setting, working with all levels of management
  • Strong written, verbal, and presentation skills

Qualification

  • Bachelor’s degree (or equivalent) in relevant field
  • Professional certification such as PMP (Project Management Professional)
