Job Description

JOB SUMMARY

The Office Manager will serve as the operational backbone of the Ghana office. This role requires a forward-thinking leader who can manage the office’s day-to-day functions while aligning administrative operations with the company’s broader strategic goals.

You will be responsible for facilities management, executive support, team coordination, compliance with internal processes, and effective stakeholder communication. The ideal candidate is a proactive manager with strong business acumen, people skills, and a keen eye for operational excellence.

Key Responsibilities

Strategic Office Management

  • Oversee daily administrative operations of the head office and satellite locations.
  • Ensure a seamless, safe, and efficient working environment for all employees and visitors.
  • Develop and implement operational procedures that align with corporate strategy and compliance standards.
  • Manage office resources, budget tracking, and cost control initiatives to optimize performance.

Executive Support & Internal Coordination

  • Provide high-level support to the Country Director and executive team, including scheduling, logistics, and communications.
  • Act as liaison between departments and senior leadership, ensuring alignment and flow of information.
  • Plan and coordinate executive meetings, board visits, workshops, and internal events.

Vendor & Asset Management

  • Manage relationships with suppliers, service providers, and external contractors to ensure high service quality and contract compliance.
  • Oversee procurement processes and inventory management of office supplies, IT equipment, and other assets.
  • Supervise facility upkeep, fleet coordination, and utility services.

Compliance & Governance

  • Ensure administrative policies, employee conduct, safety standards, and operational protocols are implemented and adhered to.
  • Work closely with legal, finance, and HR departments to ensure full administrative compliance with internal controls and local regulations.
  • Maintain confidentiality and security of sensitive company documents and records.

People & Culture

  • Lead, motivate, and supervise the administrative team, including reception, logistics, and drivers.
  • Foster a collaborative and productive workplace culture.
  • Coordinate onboarding and orientation of new hires with HR.

Qualifications & Requirements

Education

  • An MBA in Business Administration, Operations Management, or a related field is required.
  • Additional professional certifications, such as Project Management Professional (PMP), Chartered Management Institute (CMI), Chartered Institute of Administration, or SHRM/CIHRM, are a strong advantage.

Experience

  • Minimum 5–10 years of experience in office or administrative management, with at least 3 years in a supervisory role.
  • Experience in a multinational, mining, logistics, or energy company is highly desirable.
  • Proven ability to manage multi-disciplinary teams and high-level corporate operations.

How to Apply

Operate excavators and other heavy machinery safely and efficiently to perform digging, trenching, material handling, and site preparation tasks.

Conduct daily inspections and maintenance on equipment to ensure optimal performance and safety standards are met.

Site Preparation:

Assist in the preparation of construction sites by digging foundations, trenches, and other necessary holes according to engineering specifications.

Remove debris and other materials from job sites using excavating equipment.

Material Movement:

Utilize excavators to load and transport materials such as soil, gravel, and rocks, ensuring proper distribution and placement.

Work closely with site supervisors to determine material needs and ensure timely delivery to appropriate areas.

Collaboration:

Collaborate with other crew members and operators to ensure seamless workflow and effective progress on construction projects.

Communicate effectively with site foreman and team members regarding job status, equipment needs, and any issues encountered.

Safety Compliance:

Adhere to all safety regulations and protocols related to heavy equipment operation and site safety.

Participate in safety meetings and training sessions, and report any hazards or unsafe conditions to management.

Documentation:

Maintain accurate records of work performed, equipment use, and daily reports as required.

Document and report any mechanical malfunctions or necessary repairs for timely intervention.

Site Cleanliness:

Help maintain a clean and organized job site by properly storing tools and equipment at the end of each shift.

Participate in site cleanup activities as necessary.

Required Skills and Qualifications

  • Experience:
    • Proven experience as an excavator operator or in a similar heavy equipment operation role.
    • Familiarity with various types of excavators and other heavy machinery.
  • Certifications:
    • Valid commercial driver’s license is required.
    • Heavy equipment operator certification is highly preferred.
  • Technical Skills:
    • Strong mechanical aptitude with the ability to perform minor repairs and maintenance on equipment.
    • Ability to read and interpret blueprints, site plans, and construction documents.
  • Communication Skills:
    • Strong verbal communication skills for effective interaction with team members and leadership.
    • Ability to follow instructions accurately and communicate challenges or concerns clearly.
  • Physical Requirements:
    • Must be able to perform the physical demands of the job, including lifting and carrying heavy materials, standing for extended periods, and working in various weather conditions.

Preferred Qualifications

  • Educational Background:
    • Additional training or coursework in construction or heavy equipment operation is a plus.
  • Industry Knowledge:
    • Familiarity with construction processes and terminology.
    • Previous experience in related fields (construction, landscaping, road work) is advantageous.
