Job Description

Oversee and manage the day-to-day administrative operations, ensuring that office functions run smoothly and efficiently. This role involves supervising administrative staff, coordinating office services, implementing office policies, and ensuring compliance with company procedures.

Primary Duties & Responsibilities

• Document Management: Responsible for drafting, revising, and reviewing internal and external

company documents, including meeting minutes, work reports, news, etc., and ensuring orderly filing

and management of these documents.

• Administrative Management: Responsible for the overall coordination and execution of daily office

operations, ensuring a well-organized and efficient work environment. This includes overseeing the

procurement, allocation, and maintenance of office supplies, equipment, and facilities.

• Meeting Arrangement and Minutes: Organize and schedule various company meeting

• External Communication: Assist leaders in liaising and coordinating with government agencies, and business partners.

• Schedule Management: Assist leaders in managing their schedules, including travel, meetings, and

appointments, and provide timely adjustments and reminders as needed.

• Document Handling and Distribution: Handle the receipt and delivery of internal company

documents, letters, emails, etc., ensuring timely and accurate communication of information.

• Leader Assistance: Provide daily administrative support to leaders, including document processing

and schedule management, ensuring the smooth and efficient operation of leadership tasks.

Minimum qualification

• Bachelor’s Degree in Chinese or English

• Minimum of 3 years Administration Works

• Proficiency in writing formal reports. Knowing how to structure official

documents and communicate clearly with internal and external stakeholders.

• Writing Skills: Strong writing skills in Chinese for official documents, capable of

drafting reports, plans, summaries, and meeting minutes efficiently.

• Time Management: Ability to effectively organize tasks and ensure the

simultaneous handling of multiple assignments with efficiency and quality.

• Confidentiality: Strong sense of confidentiality, able to manage and handle

important information and documents properly.

• Proficiency in Office Software: Proficient in using office software (such as Word, Excel, PowerPoint, etc.) to efficiently complete daily paperwork.

• Service Orientation: Strong service mentality, demonstrating initiative and

responsibility when assisting leaders and supporting colleagues.

• Excellent Chinese and English language skills
