Job Description

Reports To: Logistics, Inventory & Supply Chain Governance Manager

Location: On-site

 

Job Summary

The Freight & Logistics Coordinator coordinates the transportation, import/export, and distribution of mining equipment, raw materials, and spare parts, ensuring cost efficiency, timely delivery, and compliance with Ghanaian and international trade regulations.

The role involves working closely with freight forwarders, customs officials, suppliers, transport companies, and warehouse teams to optimize logistics operations, reduce transportation costs, and improve supply chain efficiency.

Key Responsibilities

1. Freight & Transport Coordination

  • Plan and coordinate import/export shipments, ensuring smooth transportation of mining materials via sea, land, and air freight.
  • Liaise with freight forwarders, customs agents, and transport companies to optimize delivery timelines and costs.
  • Monitor shipment tracking, customs clearance, and inland transportation to prevent supply chain disruptions.
  • Ensure proper documentation for Bill of Lading (BoL), waybills, customs declarations, and incoterms.

2. Customs & Regulatory Compliance

  • Ensure all import and export activities comply with Ghana Revenue Authority (GRA), Ghana Customs, Ghana Ports & Harbours Authority (GPHA), and Ghana Minerals Commission regulations.
  • Work with customs brokers to resolve clearance issues and expedite shipments.
  • Maintain up-to-date knowledge of Ghanaian, Chinese, and international trade regulations affecting mining logistics.
  • Manage compliance with local content regulations and duty exemption policies for mining companies.

3. Supplier & Vendor Coordination

  • Work with transporters, freight forwarders, and warehouse teams to streamline logistics operations.
  • Negotiate competitive freight rates and service terms with logistics service providers.
  • Monitor supplier performance to ensure adherence to service-level agreements (SLAs) and on-time deliveries.

4. Cost Optimization & Risk Management

  • Implement cost-saving strategies for freight, warehousing, and transportation.
  • Monitor and control demurrage, detention charges, and logistics cost overruns.
  • Identify logistics bottlenecks and develop contingency plans to minimize supply chain risks.
  • Work with the Contracts Manager to ensure freight and transport contracts meet cost and efficiency goals.

5. Inventory & Warehouse Coordination

  • Collaborate with warehouse teams to align incoming shipments with storage capacity and inventory planning.
  • Ensure timely stock movement between warehouses, mine sites, and suppliers.
  • Support ERP and digital logistics systems for tracking inventory and shipments.

6. Data Management & Reporting

  • Maintain accurate records of shipments, freight costs, and delivery schedules.
  • Generate weekly and monthly reports on freight performance, cost efficiency, and compliance status.
  • Use logistics tracking systems and ERP software (SAP, Oracle, or Kingdee) to enhance visibility in supply chain operations.
