Job Summary
The Bulk Commodities Contract Administrator manages contracts for procuring bulk commodities, including fuel, lubricants, explosives, grinding media, reagents, and other essential mining materials. This role ensures that contracts are strategically developed, negotiated, and executed in alignment with industry best practices, cost efficiency, risk management, and regulatory compliance. The administrator collaborates with procurement, legal, finance, and operations teams to optimize supply chain performance and ensure seamless contract execution.
Key Responsibilities
1. Contract Strategy & Development
- Develop and implement contract management strategies to secure cost-effective, high-quality bulk commodities.
- Ensure alignment of procurement contracts with the company’s strategic objectives, operational needs, and budgetary constraints.
- Conduct market analysis to identify pricing trends, supplier capabilities, and cost-saving opportunities.
2. Contract Negotiation & Execution
- Lead contract negotiations with suppliers to secure favorable terms and conditions.
- Structure contracts to include performance-based clauses, penalties, risk-sharing mechanisms, and cost-escalation provisions.
- Collaborate with the legal team to ensure all agreements comply with Ghanaian procurement regulations and international best practices.
- Prepare and finalize contract documentation, ensuring accuracy and completeness.
3. Contract Administration & Compliance
- Monitor contract execution to ensure adherence to agreed terms, specifications, delivery schedules, and pricing structures.
- Manage contract renewals, amendments, and terminations in alignment with business requirements.
- Ensure compliance with Ghanaian mining and procurement regulations, including the Minerals and Mining Act and Local Content requirements.
- Conduct periodic contract performance reviews and report findings to the Procurement Manager.
4. Supplier & Stakeholder Management
- Develop and maintain relationships with key bulk commodity suppliers and service providers.
- Collaborate with operations, logistics, and inventory teams to ensure seamless contract execution and timely commodity delivery.
- Resolve contract-related disputes and discrepancies in coordination with suppliers and internal stakeholders.
5. Cost Control & Risk Mitigation
- Identify cost-saving opportunities within bulk commodity contracts without compromising quality and reliability.
- Develop and implement risk management strategies to mitigate supply chain disruptions, price volatility, and supplier performance risks.
- Ensure effective management of price escalation clauses, exchange rate fluctuations, and market conditions.
6. Performance Monitoring & Reporting
- Establish and track key contract performance indicators (KPIs) to measure supplier compliance, cost savings, and efficiency improvements.
- Provide regular reports on contract performance, supplier evaluation, and cost analysis to the Procurement Manager.
- Recommend improvements in contract structures and procurement processes based on performance insights.
Technical & Business Skills
- Strong contract drafting and negotiation skills with a deep understanding of contract terms and risk mitigation strategies.
- Proficiency in procurement and contract management software (SAP, Oracle, or similar ERP systems).
- Financial acumen to analyze cost structures, price trends, and budget impact of contracts.
- Strong problem-solving and decision-making skills to handle contract disputes and supplier performance issues.
- Excellent communication and stakeholder management skills, with the ability to engage with suppliers, legal teams, and operational staff.
- Attention to detail with strong analytical and reporting skills to monitor contract performance and compliance.

- Cost Savings & Value Optimization: Achieve negotiated cost savings and ensure competitive pricing for bulk commodities.
- Supplier Performance: Maintain high supplier compliance rates with contract terms, including quality and delivery timelines.
- Risk Management & Compliance: Ensure zero procurement-related regulatory violations and effective risk mitigation strategies.
- Contract Execution Efficiency: Reduce contract cycle time and improve procurement lead times.
- Stakeholder Satisfaction: Improve internal stakeholder satisfaction with bulk commodity procurement processes.
