Job Description:

The Administrative Secretary will provide comprehensive administrative support to ensure the efficient operation of the office. This role involves managing communication in both English and Chinese and facilitating smooth interaction with Chinese-speaking partners, clients, and stakeholders. The ideal candidate will be organized, proactive, and capable of juggling various tasks while maintaining a high level of professionalism.

Key Responsibilities:

  • Manage and coordinate schedules, meetings, and appointments for the executive team.
  • Serve as a liaison between the company and Chinese-speaking stakeholders, facilitating clear and effective communication.
  • Translate documents and correspondence from English to Chinese and vice versa as needed.
  • Prepare reports, memos, and other documents with attention to detail and accuracy.
  • Maintain an organized filing system for important and confidential company documents.
  • Handle incoming calls and emails, providing responses in both English and Chinese.
  • Assist in the organization of company events, meetings, and conferences.
  • Support the preparation of presentations, reports, and other documents using Microsoft Office Suite.
  • Manage office supplies and inventory, placing orders as necessary to ensure smooth office operations.
  • Perform other administrative tasks as assigned to support the overall function of the office.

Qualifications:

  • Bachelor’s degree in Business Administration, Language Studies, or a related field.
  • Proven experience in an administrative or secretarial role, preferably in an international or cross-cultural environment.
  • Fluency in Chinese (Mandarin) and English, both written and spoken.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational skills with the ability to multitask and prioritize tasks effectively.
  • Excellent communication and interpersonal skills.
  • High level of professionalism and confidentiality.
  • Ability to work independently as well as collaboratively within a team.
