Job Description
The Civil Procurement Assistant supports the procurement department in sourcing, purchasing, and managing materials, equipment, and services required for civil engineering and construction projects. The role involves coordinating with suppliers, assisting with tendering processes, maintaining procurement records, monitoring deliveries, and ensuring materials meet project specifications, budget, and timelines. The assistant works closely with project managers, site engineers, and the procurement manager to ensure efficient supply chain operations for construction activities.
KEY RESPONSIBILITES
1. Procurement Support
- Assist in sourcing and purchasing civil construction materials such as cement, steel reinforcement, aggregates, sand, pipes, and other related materials.
- Prepare and process purchase requests, purchase orders, and procurement documentation.
- Support the procurement manager in evaluating supplier quotations and preparing comparison sheets.
- Ensure procurement activities comply with company policies and procurement procedures.
2. Supplier Coordination
- Communicate with suppliers to obtain quotations, product specifications, and delivery schedules.
- Maintain relationships with existing vendors and help identify new suppliers.
- Track supplier performance including pricing, quality, and delivery reliability.
- Follow up with vendors regarding delayed deliveries or discrepancies.
3. Tender and Quotation Management
- Assist in preparing Requests for Quotations (RFQs), Requests for Proposals (RFPs), and tender documents.
- Collect and organize supplier bids and quotations.
- Support bid evaluation processes and prepare technical and financial comparison reports.
4. Inventory and Material Tracking
- Monitor incoming materials and verify that deliveries match purchase orders and specifications.
- Coordinate with the warehouse or site storekeepers to confirm receipt of materials.
- Assist in maintaining accurate records of inventory levels and procurement transactions.
- Help prevent material shortages or overstocking.
5. Documentation and Record Keeping
- Maintain procurement files, supplier databases, and purchase order records.
- Ensure all procurement documentation is properly filed and easily retrievable.
- Assist in preparing procurement reports and summaries for management.
- Support audit processes by providing required procurement records.
6. Coordination with Project Teams
- Work closely with site engineers, quantity surveyors, and project managers to understand project material requirements.
- Assist in planning procurement schedules according to project timelines.
- Communicate procurement status updates to project stakeholders.
7. Compliance and Quality Control
- Ensure purchased materials comply with project specifications and quality standards.
- Verify supplier certifications, product warranties, and compliance documentation.
- Assist in resolving issues related to defective or non-compliant materials.
QUALIFICATIONS
Diploma or Bachelor’s Degree in Civil Engineering
Procurement and Supply Chain Management
A certificate in Construction Management
Business Administration or related field.
Experience
- 1–3 years of experience in procurement, preferably in construction or civil engineering projects.
- Internship or entry-level experience in construction procurement may also be considered.
