Job Summary:
Our reputable company is currently looking for a proactive and detail-oriented Secretary to join our dynamic team and support our day-to-day operations. The Secretary will play a crucial role in ensuring the smooth operation of the organization by performing a variety of administrative and clerical tasks. This position requires strong organizational skills, the ability to prioritize tasks, and the capability to communicate effectively with internal and external stakeholders.
Key Responsibilities:
- Administrative Support:
- Provide administrative support to management and other staff members.
- Schedule and coordinate meetings, appointments, and travel arrangements.
- Prepare and distribute meeting agendas, minutes, and other relevant documents.
- Communication:
- Act as the first point of contact for internal and external communications.
- Respond to phone calls, emails, and inquiries in a professional manner.
- Draft, format, and proofread correspondence, reports, and presentations.
- Documentation and Record Keeping:
- Maintain organized filing systems for both electronic and physical documents.
- Ensure that all records are updated, accurate, and easily accessible.
- Assist in the preparation of reports and presentations as needed.
- Office Management:
- Coordinate office supplies and equipment, managing inventory and placing orders as required.
- Ensure that all office equipment is maintained and functioning effectively.
- Implement and maintain effective office procedures and administrative systems.
- Compliance:
- Ensure compliance with organizational policies and procedures.
- Maintain confidentiality of sensitive information and uphold company standards.
- Support for Special Projects:
- Assist with special projects and events, coordinating logistics and documentation.
- Perform additional administrative duties as assigned by management.
Qualifications:
- High school diploma or equivalent; associate’s or bachelor’s degree preferred.
- Proven experience as a Secretary or in a similar administrative role.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Ability to multitask and prioritize workload in a fast-paced environment.
- Strong interpersonal skills and a professional demeanor.
- Familiarity with office management procedures and basic accounting principles is a plus.
