Job Summary
A reputable organization is seeking the services of an administrator who will be responsible for managing the day-to-day administrative operations of an organization. This includes coordinating office activities, supporting management and staff, handling correspondence, maintaining records, ensuring compliance with organizational policies, and overseeing office resources to ensure smooth and efficient operations.
Key Responsibilities:
1. Office Management
• Organize and supervise daily office operations.
• Ensure the office environment is clean, safe, and well-maintained.
• Manage office supplies, stationery, and equipment inventory.
• Coordinate facility maintenance and repairs when needed.
2. Administrative Support
• Provide administrative and clerical support to executives, departments, and staff.
• Draft, edit, and manage correspondence, reports, and other documents.
• Schedule meetings, appointments, and conferences; prepare meeting agendas and minutes.
• Handle incoming calls, emails, and inquiries in a professional manner.
3. Record Management
• Maintain accurate and up-to-date filing systems (both electronic and paper).
• Ensure that confidential information is properly stored and secured.
• Manage company databases, employee records, and official documentation.
4. Financial and Budgetary Support
• Assist with budgeting and expense tracking.
• Process invoices, reimbursements, and petty cash requests.
• Coordinate with the finance department to ensure timely payments and accurate records.
5. Human Resource Assistance
• Support HR with recruitment, onboarding, and record keeping.
• Maintain employee attendance, leave records, and performance data.
• Coordinate staff training and professional development activities.
6. Communication and Coordination
• Serve as the primary point of contact between management, staff, and external stakeholders.
• Facilitate communication across departments to promote efficiency.
• Coordinate company events, meetings, and travel arrangements.
7. Compliance and Policy Implementation
• Ensure all administrative processes comply with company policies and legal standards.
• Support internal audits and ensure documentation accuracy.
• Recommend improvements to administrative systems and procedures.
Qualifications and Requirements
• Bachelor’s degree in Business Administration, Management, or a related field.
• Minimum of 2–5 years’ experience in office administration or management.
• Strong organizational and multitasking skills.
• Excellent written and verbal communication abilities.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) or other office software.
• Attention to detail and a high degree of professionalism.
• Ability to work independently and under pressure.
