Location: On-Site

Job Summary

The Construction Contract Administrator is responsible for managing the lifecycle of contracts related to civil, structural, mechanical, and electrical construction projects within the mining operation. This role ensures that all construction contracts comply with Ghana’s Minerals Commission regulations, the Land Use and Spatial Planning Act 2016, and international contract standards (e.g., FIDIC). The administrator is key in preparing, reviewing, negotiating, and monitoring contracts to ensure timely project execution, cost control, and contractor compliance.

The Construction Contract Administrator will work closely with project managers, procurement teams, legal advisors, and contractors to mitigate risks, resolve disputes, and ensure all construction activities align with the company’s strategic goals.

Key Responsibilities

1. Contract Preparation & Administration

  • Assist in drafting, reviewing, and finalizing construction contracts in alignment with FIDIC, Ghanaian procurement laws, and Chinese corporate best practices.
  • Ensure contracts include clear deliverables, milestone-based payments, penalties for non-performance, and dispute resolution mechanisms.
  • Maintain a centralized contract database and tracking system to monitor contractual obligations, variations, and renewals.

2. Contract Negotiation & Execution

  • Support the Contracts Manager in negotiations with construction contractors, engineering firms, and material suppliers to secure the best commercial and legal terms.
  • Ensure all subcontracts and agreements with local and international service providers comply with Ghanaian and company regulations.
  • Assist in contract variations, amendments, and extensions while ensuring financial and operational alignment.

3. Compliance & Risk Management

  • Ensure all construction contracts comply with Ghana’s Minerals and Mining Act, Local Content Regulations, Environmental Protection Agency (EPA) standards, and Land Commission directives.
  • Identify legal and financial risks in construction contracts and propose mitigation strategies.
  • Ensure contractors meet safety, environmental, and labor compliance standards per Ghana’s Occupational Health and Safety (OHS) regulations.

4. Contractor Performance Monitoring

  • Develop and implement Key Performance Indicators (KPIs) to measure contractor compliance with timelines, cost, and quality standards.
  • Conduct contractor performance reviews and recommend penalties or incentives based on contract terms.
  • Work with project managers to track construction progress and flag potential contractual breaches.

5. Financial & Cost Control

  • Verify contractor invoices, payment milestones, and claims to ensure compliance with agreed contract terms.
  • Track contract costs, variations, and budget overruns, ensuring accurate financial reporting.
  • Assist in cost-saving initiatives by identifying opportunities for renegotiation and value engineering.

6. Stakeholder & Document Management

  • Act as the primary point of contact for construction contract-related queries from internal and external stakeholders.
  • Maintain accurate and organized records of all contract documents, approvals, and communications.
  • Support dispute resolution and claims management through accurate documentation and contract interpretation.

7. Digital & Process Optimization

  • Utilize ERP systems (SAP, Oracle, or Chinese platforms like Kingdee) for contract management and tracking.
  • Recommend process improvements for contract administration to enhance efficiency and transparency.
